Aapki jaankari ki suraksha hamari zimmedari hai. This page explains what information we collect and how we use it.
1. Who We Are
Aalaap Music Academy is a registered music institution (MSME UDYAM-UP-75-0082727) based in Varanasi, Uttar Pradesh, with branches at Sigra (Head Office) and Lanka. This Privacy Policy applies to our website www.aalaapmusic.com and related student services.
2. Information We Collect
- Contact details — name, phone number and email address that you share through our contact form, WhatsApp, phone calls, or admission/registration forms.
- Student information — course, batch, attendance and fee records of enrolled students, maintained for academic administration.
- Class recordings — audio and video of online classes, which may include your voice, your picture and your name. See section 7 below.
- Online class & portal data — login credentials, course progress and quiz scores for students using our online student portals.
- Technical data — basic, anonymised usage information (such as pages visited) used only to improve the website.
3. How We Use Your Information
- To respond to your enquiries about courses, fees, timings and events.
- To manage admissions, attendance, fee receipts and class schedules.
- To run student services such as online classes, quizzes and leaderboards.
- To send important updates about classes, events or holidays (via phone, WhatsApp or email).
We do not sell, rent or trade your personal information to any third party.
4. WhatsApp & Phone Communication
If you contact us on WhatsApp (+91-7565050505) or by phone, your number is used only for academy-related communication — admission queries, class updates and event information. You may ask us to stop messages at any time.
5. Payments
Online payments (where available) are processed by secure third-party payment gateways. We do not store your card, UPI or banking details on our servers.
6. Who We Share Information With
We do not sell, rent or trade your information. We do share it, only as far as necessary, with the services that actually run our classes and our website:
- Razorpay Software Private Limited — to take online payments. Your card, UPI or net-banking details go straight to Razorpay and its partner banks; they never reach our servers.
- Zoom — to hold live online classes. Your name, as you enter it, is visible to your teacher and to the other students in that class.
- Bunny.net — to store and stream recorded lessons and the videos you upload to the portal.
- WhatsApp (Meta) and Google (Gmail) — to send class updates, receipts and replies to your enquiries.
- Hostinger — the company whose servers hold our website and student records.
- Courier companies — for physical orders only, we pass on the name, address and phone number needed to deliver the parcel.
Each of these uses your information only to do the job we have engaged it for. Their own privacy policies also apply to that part of the service.
We may also disclose information where the law requires it — for example a court order or a lawful demand from a government authority — or where it is genuinely necessary to protect the safety of a student, a member of our staff, or the public.
7. Cookies and Local Storage
We do not use advertising cookies, and we do not run third-party tracking or advertising scripts on this website.
The student portal does use a small number of technical items that are stored in your own browser:
- A login cookie (
gullak_gate), which is what keeps you signed in to the portal. It holds your student ID and a session token — no password and no personal details — and lasts about six months, or until you log out. - Local storage, which remembers small preferences so that the portal behaves sensibly — which tab you had open, your dark-mode setting, your practice-tool records.
- An offline cache, so that pages you have already opened still work on a weak connection.
All of these live on your own device and can be cleared at any time from your browser settings. Clearing them will simply log you out and reset those preferences. The login cookie cannot be switched off while you are using the portal, because without it there is no way to know that it is you.
Third-party services embedded in our pages — principally Razorpay's payment window and Bunny's video player — may set their own cookies when you use them. Those are governed by their own policies.
8. Photos & Videos
Photos and videos from classes, events and student performances may be shared on our website, YouTube channels and social media for promotional and educational purposes. If you would like a particular photo or video removed, please contact us and we will do so promptly.
9. Class Recordings
Group (batch) classes may be recorded. A recording may include your voice, your picture and your name. By joining a group class you agree to being recorded. The recording is shared only with the students of that same batch, inside the student portal, so that anyone who could not attend may watch it later. It is not posted publicly. If you would rather not appear, you may keep your camera off — please tell your teacher before the class begins.
Private (one-to-one) classes may also be recorded, but only for our own quality and teacher-training purposes. These recordings are seen only by the Academy. They are not provided or made available to the student, and they are not shared with anyone else.
All recordings remain the property of Aalaap Music Academy and are stored on servers with restricted access. Downloading, re-sharing or posting a recording anywhere outside the portal is not permitted.
Group-class recordings are kept for as long as the batch needs them and are removed thereafter. Private-class recordings are kept only for a short review period. You may ask us to delete a recording in which you or your child appear by writing to info@aalaapmusic.com, and we will do so unless we are required by law to keep it.
10. Data Security & Retention
Student records are stored on secured servers with restricted access. We retain information only as long as it is needed for academic and legal record-keeping.
11. Children's Privacy
Many of our students are children. Their information is collected only from parents/guardians at the time of admission and is used strictly for academic purposes. Parents may review or request correction of their child's information at any time.
12. Your Rights
You may request access to, correction of, or deletion of your personal information by contacting us at info@aalaapmusic.com or +91-7565050505.
To make such a request, please write from the email address or message from the phone number we already have on record for you, so that we can be sure it is really you asking. For a student under 18, the request should come from the parent or guardian who enrolled them. We answer within 15 working days.
Some information we must keep even after a request — fee receipts and invoices, for instance, which Indian tax law requires us to retain for eight years. Where that applies, we will tell you what we are keeping and why.
13. Grievance Officer
If you are unhappy with how your information has been handled, you may write to our Grievance Officer. We acknowledge every complaint within 48 hours and aim to resolve it within 15 working days.
